Deposit Returns & Leaving Instructions - Managed Properties

 

In order for deposit refunds to be processed efficiently, you must carry out the following:

1. FINAL PROPERTY INSPECTION

– Please discuss with all housemates to find out who is likely to be the last person(s) to be leaving for good. Once this is known please contact us ASAP to make an appointment for us to visit the property, to carry out a Final Inspection and see off the final tenant and to collect all the keys. Experience of previous years is that many students leave Sheffield at around the same time, so please make an appointment as far in advance as possible to avoid disappointment.

2. CLEANING & RUBBISH REMOVAL

– Make sure the whole of the property is clean, tidy and "spotless" (see "checklist" on letter send to you at the end of April) for the inspection. If you wish to use professional cleaners please tell us in good time so we can arrange this with a firm for yourselves, who will give you an approximate quote. A typical charge is approx £100 -£200 depending on the house size (payable in cash on the day direct to the cleaners). The main charges against deposits last year were due to cleaning and rubbish removal so please make sure you clean thoroughly and don’t leave it until the last minute.

3. UTILITY BILLS & FORWARDING ADDRESSES

– Gas, Electric, Water and Telephone/Internet bills (and any Council tax bills if applicable) must be paid in full up to the end date of your contract and the evidence of this forwarded to ourselves. At the final inspection we will take the final Gas and Electric meter readings with you which you then need to give these to your Utility providers. Do not disconnect the services to the property but tell the providers that it is the end of your tenancy and that new tenants are moving in and that they will be informed of their names shortly. Have the Utility providers send you your final bills to your new address, arrange for these to be paid and then send to us the original "Final" bills, stamped "PAID" at a post office or bank, with a receipt for their payment stapled to the bill. Alternatively obtain a confirmation that your bills are all paid up to the final date from your provider or print out a copy of your bank statement showing the deductions to the named Energy Company alongside the relevant the bill. The bills must show the final meter readings and the dates must correspond correctly. Please note we do not accept "Estimated" bills. If your property is let to you on an "Bills Inclusive basis" then please disregard this regarding the relavant bills. When you have received all of the above please send them to us complete with each of your forwarding postal addresses so that we can process your deposit return (in accordance with the inspection & your contractual obligations).

4. RETURN OF ALL KEYS

– Please ensure ALL your keys are collected in a large envelope with the property address marked on the side and handed to the Dove Properties respresentative at your FInal Inspection. Any bedroom keys must be clearly labelled so to identify which bedroom they correspond to (e.g. ground floor front bedroom). Any missing keys will be subject to a minimum £35 surcharge each (a much larger sum will be involved if a lock change is necessary).  All keys must be returned at this time.

5. MAIL REDIRECTION

– To be sure that you receive your future mail, please have it re-directed at the Post Office. This will help to protect you from possible identity theft. Unfortunately neither we nor the incoming tenants will be held responsible for the re-direction or collection of your mail.

6. RUBBISH DISPOSAL -

Please do not leave your rubbish disposal until the last week and your final bin collection. Experience tells us that there will be far too much for one bin load and the bin men will not take away rubbish not stored securely within the bin. The bin-lid must be firmly shut with no rubbish left on street – failure to do this can result in a BIG FINES FROM THE COUNCIL. Do not leave any rubbish or personal possessions for us to deal with otherwise you will be charged accordingly. We advise you to start to get the house ready in Early-May! Please note Sheffield City Council run a Red Sack Scheme to assist you in getting rid of excess waste at the end of your tenancy. Red Sacks can be collected from your University. They should be left on the pavement by your bin on certain days only. Look out of for details at your University Accommodation Bureau . HOUSE CLEANING CHECKLIST

PLEASE READ - FAILURE TO DO SO MAY RESULT IN CHARGE

Your contract is "Joint and Several Contract" which means that all tenants assume joint responsibility for any cost deductions from the deposits. All tenants therefore need to do their fair share of cleaning, tidying and rubbish removal.

BEDROOMS:

- All carpets/flooring to be thoroughly vacumed/mopped.

- All picture hooks, posters, drawing pins, Bluetac etc to be removed. Damage caused to be "made good".

- All surfaces to windows, desks, shelves, skirting boards etc to be thoroughly cleaned using a cleaning spray.

- All cupboards, draws and bedroom furniture to be thoroughly cleaned inside and out.

- Dust cobwebs from lights & ceilings etc.

- All belongings and unwanted items to be removed from the property.

- Position furniture and hang curtains in original locations if you have moved it.

BATHROOMS/WC ROOMS:

- Thoroughly clean all sinks, showers, baths & toilets using cleaning materials.

- Remove hair from plug holes using Mr Muscle Drain Unblocker or similar.

- Wash floors, clean any mirrors, cabinets, bins etc.

- Purchase and fit new shower curtain and bath mats if in poor condition.

- Wipe down walls, windows and skirting boards etc.

- Mop/Hoover flooring.

KITCHEN:

- Ovens/Cookers/Microwaves to be thoroughly cleaned and scrubbed inside and out using an Oven Cleaning product.

- All surfaces/sinks/floors to be cleaned using an antibacterial spray.

- All cupboards/draws/units to be be cleaned inside and out.

- All unwanted food , rubbish, and portabel appliances belonging to tenants (eg kettle, toaster etc) to be removed.

- Fridge and freezers should be both defrosted and thoroughly cleaned inside and out with the doors left open to prevent mould build up (do not remove ice with sharp objects as you may cause damage to the appliance).

HALL STAIRS & LANDINGS & LOUNGE:

- All carpets/flooring to be thoroughly vacumed/mopped.

- All picture hooks, posters, drawing pins, Bluetac etc to be removed. Damage caused to be "made good".

- All surfaces to windows, shelves, skirting boards, furniture to be cleaned using a multi-purpose spray.

- Hoover underneath and inside sofas where possible.

CELLARS/STORE ROOMS/OUTSIDE:

- To be clean tidy and in good order with no unwanted belongings or rubbish left.

GENERAL:

- Remove all rubbish bags, boxes, bottles, unwanted personal furniture and electronics (eg TVs!) from the property.

- Empty vacuum cleaner and ensure is in good order well before you leave. If not, ring the agent to arrange repair.

- All Smoke Detectors and Fire Doors should be left in good working order.

- Any damage to be rectified by the tenants or informed to us in good time to get rectified before new tenants move in.

- "For Sale" Signs, roadwork cones, supermarket trollies etc to be "shown their way home" far away from the property.

- TENANTS WILL BE CHARGED FOR THE REMOVAL OF UNWANTED TVS, DUVETS, PILLOWS ETC

- TENANTS WILL BE CHARGED £10 PER LIGHTBULB IF ANY LIGHTS ARE LEFT WITHOUT A FITTED WORKING BULB

- IF THE PROPERTY IS NOT CLEANED AS STATED THEN CLEANERS WILL BE INSTRUCTED AND THE TENANTS CHARGED
